Projects and timesheets

Projects is for work that runs over weeks with a customer, a budget and people's time on it — consulting, installations, builds, retainers. Time logged on a project becomes hours to invoice or cost to absorb; milestones mark the money moments; every project has a place where its people talk.

A project

Projects → New: name, customer, manager, start and end dates, budget and currency, and the billing type that decides how money works:

Billing type Meaning
Fixed price The customer pays an agreed amount, usually against milestones. Hours are cost, not revenue.
Time & materials Hours are billed at the project's hourly rate (or the employee's), plus expenses.
Non-billable Internal work; hours are tracked for cost and capacity only.
Status Meaning
Draft Being set up.
Active Running; time can be logged.
On hold Paused; no time logging.
Completed Done; history kept.
Cancelled Abandoned.

Tasks

Work broken into pieces: a task has a title, an assignee, start and due dates, an estimate, and a status — To do → In progress → Review → Done (or Cancelled). Tasks shows them as a list or a Gantt chart by date; All Tasks across projects is the team's board. A task can be marked billable or not, which the timesheets inherit.

Timesheets

Timesheets → Log time: the project, the task, the date, the hours, a description, and whether it's billable. Employees log their own; managers see everyone's under All Timesheets, by period, with totals and a no time logged warning for projects that have gone quiet. Time is what the project's Hours logged, Earned (T&M) and cost figures are built from.

Milestones

Dated targets — design approved, phase 1 delivered, go-live — each Pending until marked Achieved (or Missed). On a fixed-price project a milestone usually corresponds to an invoice; achieving it is the signal to bill.

Invoicing a project

Open the project's Overview. For time & materials, unbilled billable hours show as Pending invoicing with their value at the rate; Create invoice turns them into a draft invoice for the customer with one line per task or a summary line, and marks those hours Invoiced when the invoice posts. For fixed price, create the invoice from the milestone or from Sales as usual, referencing the project on the invoice's Other info. Expenses claimed against a project (the claim carries the project) can be added to the same invoice.

The Overview

Budget against cost to date, hours logged against estimate, progress, earned value on T&M, pending and invoiced amounts, the milestones' state, and the team. When a project is quietly going over, this page is where it shows first.

The project channel

Every project has a channel — a conversation thread for its team, the same chat as Working together but scoped to the project — so decisions and files stay with the work, not in someone's inbox.

Reports

Hours by project and employee, billable versus non-billable, budget versus actual, pending invoicing across projects.

Totals across projects — here, on the Projects dashboard and on Milestones — add each project in your company's currency at the rate on file (Settings → Exchange Rates), never dollars as if they were dirhams. A currency with no rate on file is named beside the total instead of being added in.

Common questions

Can a task belong to no project? No; tasks live in projects. For personal to-dos, use the home screen's Tasks & Reminders.

Hourly rate per employee or per project? The project's rate applies unless the employee record carries a billing rate, which wins.

Time was logged to the wrong task. Edit the timesheet entry while it's unbilled; once invoiced, it's locked — correct with a credit note and a new entry.

Can a customer see progress? Not yet as a portal; export the Overview or email the milestone report.

Can I delete a project? Yes, with its tasks and milestones — unless time is logged against it or one of its tasks: Tamra says so, in words. Set it to Completed or Cancelled instead, or delete its time entries first. A task with time logged is set to Done or Cancelled the same way.

If something goes wrong

  • "Your role can't…" when you save, move a task or log time → changing projects, milestones and timesheets needs Projects create or edit; moving and changing tasks needs Tasks create or edit; deleting needs the delete right. The built-in Manager and Operator roles have create and edit; Payroll and Viewer only read. Ask whoever runs Users & Roles.
  • Log time is refused → the project is on hold, completed or draft; only Active projects take time.
  • Pending invoicing shows zero with hours logged → the hours are non-billable, or the project is fixed-price.
  • Create invoice fails → the customer on the project is missing or inactive.
